Client went silent on the renewal

Account leads, client partners~90 min of draftingUpdated August 2026

Platform usage is strong, invoices are paid on time, the working relationship is fine - but every email you've sent about the renewal terms has gone unanswered for six weeks. You're now ten days from the contract lapsing on auto-evergreen-or-not.

The receipt

B2B SaaS document platform, ~$5-10K ARR

Lapsed at renewal despite full usage and on-time invoicing. The silence wasn't disinterest - it was an unresolved internal procurement question no one wanted to escalate. The follow-up below would have surfaced it.

What lands in your inbox

From (no response for 6 weeks) · (prior thread - renewal terms)

[You sent two emails about renewal terms over six weeks. The last response was "let me check internally and come back to you." No reply since. Platform usage is steady at ~90% of seats active. The most recent invoice was paid two days early.]

Why it works

frame
3/3

Reframes silence as a procedural problem ('let's not make it weird'). That framing keeps the relationship intact. Lets them save face.

relate
3/3

Names every plausible reason for silence - reorg, freeze, procurement, new VP - and gives them permission to use any of them.

excite
1/3

Deliberately low. Excite would be wrong here; the client doesn't need vision, they need a frictionless action.

demonstrate
2/3

The two-minute forward path demonstrates respect for their time. Light because the deal is already proven by usage.

ask
3/3

Three explicit asks stacked: tell me what's going on, OR forward the extension, OR don't reply and I'll send it on [date]. They can't accidentally do nothing.

The anti-pattern

A fourth 'just bumping this' email with no new ask, no deadline, and no permission for them to say no. You're now the polite-but-annoying vendor in their inbox, which is exactly the frame procurement uses to justify cutting renewals.
