Renewal-defence template · Agency shock
Your agency client just lost their flagship
Your agency client just lost the brand that funded 80% of their tracking nodes. Layoffs are coming. The default move on their side is to cancel every vendor contract on the same day. You have about 72 hours to be the vendor that calls first with a smarter option than 'cancel'.
The receipt
North American performance agency, ~$10-25K ARR (churned)
Lost at full TCV. ~135 of 165 tracking nodes wiped overnight when the flagship walked. The email below - sent within 48 hours instead of waiting for them to come to us - would have held a restructured contract sized to the new book.

Read the free templateWhy it works
Reframes the moment from 'vendor about to get cut' to 'vendor making the CFO's decision easy'. Owns the frame before they have to.
Acknowledges the hard week without performing empathy. The 'I'm not asking how you are' line is the credibility move.
Deliberately muted. Excite in a crisis email reads as tone-deaf - the forward path is a resized contract, not a pitch.
Three concrete options including 'clean exit'. Demonstrating you've thought through their CFO's question is worth more than discounting.
Four-letter ask: A, B, C, or 'talk Friday'. They can respond in 5 seconds in the middle of a chaotic week.
The anti-pattern
Waiting for them to call you. By the time they do, the CFO has already published the vendor-cut list and you're on it. Or, worse, sending a 'thinking of you' email with no proposal - performative and useless in the week they need a decision-ready option.
